Property Manager
POSITION SUMMARY
Responsible for the overall operations of assigned buildings including tenant services, building maintenance, expense management and contract administration. The Property Manager must ensure that properties are maintained and operated in superior fashion so as to ensure the highest possible level of tenant satisfaction and retention, while meeting the financial objectives of building owners.
RESPONSIBILITIES
Tenant Relations:
- Maintain excellent tenant and building owner relations by regularly meeting with tenant contacts to ensure expectations are met
- Identify and address issues in a timely, courteous and constructive manner
- Coordinate tenant relations activities in accordance with policies and approved budget
- Coordinate tenant requests for additional services, including initiation, tracking and close-out of all related service requests as well as tenant move-ins and move-outs
Financial Management:
- Prepare and manage annual operating and capital budgets
- Review monthly financial statements and provide owners monthly with property status updates
- Review quarterly reports with Accounting and Director of Property Management to discuss actual costs and variances, status of ongoing projects and as needed, adjustments/reforecasts
- Review and approve all property invoices for assigned buildings
- Review A/R monthly and manage all delinquent accounts; conduct collection efforts to ensure prompt rental payments
Administration
- Be knowledgeable of the terms, conditions, and requirements of each lease and ensure that both tenant and landlord obligations are met
- Ensure the maintenance of accurate lease files, tenant and vendor files, tenant contact list, tenant service request system/logs, key control, emergency plans, incident reports, insurance claims, utility reimbursements, insurance certificates, occupancy certificates and other building records as necessary
- Coordinate with the advisory team to ensure any vacant/available space is maintained in secured and marketable condition at all times
- Bid, negotiate and administer all contracts and proposals for service in conjunction with property management contracts, approved operating budget and standard operating procedures
- Assist in instituting and administering policies and procedures
Operations
- Oversee engineering team by supervising, monitoring, setting goals and evaluating building engineers, porters and other building staff
- Inspect all areas of the property regularly and supervise building staff to ensure that daily operations of the building are in keeping with EDGE standards
- Work with Chief Engineer and building staff to plan, schedule and monitor all preventative maintenance programs
- Coordinate with the Construction Management team tomanage all construction and capital projects to ensure alterations are performed in accordance with building standards, approved drawings and building code requirements. (Ensure that all types of work that may disturb or inconvenience tenants or operations are mitigated or when necessary, rescheduled to before or after normal working hours)
- Direct responses to any emergencies with confidence to minimize damage, inconvenience or injury to person, equipment and property
- Implement proper reporting procedures when any accident or incident, such as theft or security breach occurs. Follow up with proper dispatching of these reports to appropriate sources
- Provide emergency 24-hour on-call service to respond to problems that occur and provide direction to field personnel and/or subcontractors
REQUIRED Qualifications
- Undergraduate degree, RPA or CPM designation
- 3+ years of direct, hands on experience in property management.
- Driven by customer satisfaction/service and relationship building
- Self-starter who is a team player able to motivate and lead a diverse group of employees in a way that engenders effective performance and high team morale
- Proficient in principles and practices of office/property management
- Exceptional oral and written communication skills (multilingual a plus)
- Proficient with Microsoft Windows, Word, Excel (spreadsheets), Outlook, PowerPoint
- Strong problem solving and analytical capabilities
- Persistent “whatever it takes” attitude
- Strong organization, time management skills and ability to multi-task in a fast paced environment
- Ability to prioritize/perform to achieve desired company and project goals with a sense of urgency and ownership
- Respect for details; ability to execute accurately at a high level without excess supervision
