Administrator/Marketing Coordinator

Responsibilities

Administrative:

  • Sorting mail and invoices according to property
  • Answering phones: transferring caller to appropriate broker when in reference to property and Completing Tenant Service Request forms when service is needed
  • Maintaining paper level in copier
  • Check and distribute faxes
  • Check supply inventory in both MD and VA offices and placing office supply order
  • Coordinating with appropriate vendors when experiencing issues (IT, printer, REA, etc)
  • Utilizing FedEx, Falcon, UPS and USPS for mailing regular and overnight
  • Utilizing Avery to provide labels for files and mails
  • Distributing Maryland Newsletters all internally
  • Managing industry specific databases database
  • Filing
  • Update all building stacking plans
  • Update/maintain Certificate of Insurance logs for all Tenants/Vendors
  • Quarterly Investor Reports and letters for Bradley/Arlington 6245
  • Make copies of corresponding back up paperwork for each investor with reports and letters
  • Scan in all distribution checks and collate
  • Make label for each envelope for each investor; Put postage on all envelopes and deliver to post office if necessary

MARKETING:

  • Updating and maintaining supply of marketing packages
  • Producing presentable packages in folders with business cards
  • Maintaining appropriate quantity of marketing packages available for Brokers
  • Creating and distributing email blasts to corresponding brokers as well as weekly News Releases
  • Formatting and editing documents and presentations
  • Collect RSVP for brokerage meetings and order lunch
  • Assembling new marketing packages for new leases
  • Developing company products (invitations, etc.)
  • Updating and maintaining news page on website weekly (WordPress)

PROPERTY MANAGEMENT:

  • Contact engineering staff to confirm completion of service tickets
  • Sort property management invoices and follow up at Property Manager’s direction
  • Field all tenant work order requests, complaints and general inquiries from all
    tenants via email and phone
  • Input tenant service requests and update database as requests are completed
  • Update Tenant Rosters & Vendor Contact Lists
  • Coordinate building access with Datawatch
  • Coordinate signage requests
  • Prepare tenant invoices
  • Mail out Tenant Statements at the Property Manager’s direction
  • Update building binders

REQUIRED Qualifications

  • Ability to meet deadlines
  • Articulate and possess high level of writing skills
  • Excellent team worker
  • Excellent communication skills
  • Proficient in Microsoft Office and Adobe
